Scanning and OCR software

Scanning and OCR software

Scanning and OCR software turns paper documents and image files into searchable, editable digital text. This category suits offices, accounts and admin teams, and home users who are digitising paperwork. Our range is small, with titles from ABBYY and Kodak covering text recognition and document capture.

How to choose scanning and OCR software

Main task. Decide whether you mainly convert and edit individual documents or capture large stacks of paper every day. OCR editors are built for the first job, while capture software focuses on batch scanning, sorting and indexing.

Recognition accuracy and languages. Check that the software supports every language you work with, including accented characters and mixed-language pages. Accuracy on poor originals, such as faded print, skewed pages or photographs of documents, varies between products and is worth checking before you buy.

Output formats. Look for the formats your workflow needs: searchable PDF, Word, Excel or plain text. If you archive records, support for PDF/A is useful. If you re-use tables and layouts, check how well the software keeps columns and formatting intact.

Scanner compatibility. Confirm that the software works with your scanner or multifunction printer, either through standard drivers such as TWAIN and WIA or through a manufacturer connection. Software that came from a scanner maker is often tuned for that maker's hardware.

Licence and operating system. Check whether the licence covers one computer or several users, and whether it is a perpetual licence or a subscription. Also confirm that the version supports your version of Windows or macOS.

Scanning and OCR software brands we carry

  • ABBYY: a developer known for its OCR engine, which is used in its own desktop products and licensed to other software makers. Two of the three products in our range come from ABBYY.
  • Kodak: best known for document scanners, with software designed for capturing and processing high volumes of paper. It is the third product in our range.

Scanning and OCR software FAQ

What is OCR software used for?

OCR software reads the text in a scanned page or image and converts it into characters a computer can search, copy and edit. It is used to turn paper contracts, invoices and letters into searchable PDFs or Word files. It also makes archives far easier to search.

Do I need a scanner to use OCR software?

No, a scanner is not always required. OCR software can also process existing PDFs, photographs and screenshots. A scanner or multifunction printer is only needed if you start from paper, and a good scan gives noticeably better recognition results.

What is the difference between OCR software and document capture software?

OCR software concentrates on recognising and converting text in individual files, usually for editing. Document capture software is designed for batch work, including scanning stacks of paper, separating documents, reading data fields and passing files on to storage. Some products combine both functions.

Will OCR software read handwriting?

Most OCR software is designed for printed text and handles handwriting poorly. Neat, separated block capitals have the best chance of being recognised, while joined-up handwriting is often misread. Check the product description for handwriting support if it matters to you.
